AUTOMATION · BEGINNER FRIENDLY

Automate Business Workflows

Turn a busy process into a clear workflow.

Map how work moves through your business, find a useful automation opportunity, and prototype it with clear checks and a human approval step.

COURSE OVERVIEW

What is business workflow automation training?

Learn to map a repeated business process, prepare its data and prototype a workflow with approval and error-handling steps. The final project prepares an enquiry follow-up for a person to review.

OPTIONAL AI PRACTICE

Apply AI to a relevant task.

Selected modules include an optional prompt-and-review exercise. Verify the result using the underlying skills taught in this course.

Check your starting point
  • Find and sort rows in a spreadsheet. Computer Literacy first if this is difficult.
  • Map an enquiry with a missing course name. Essentials for new process designers.
  • Demonstrate duplicate handling and manual recovery. Advanced after independent practitioner performance.

WHAT YOU’LL LEARN

Skills to put into practice.

  • Separate useful automation opportunities from tasks that need judgement.
  • Map triggers, data, actions, approvals and exceptions.
  • Prototype a workflow using sample business data.
  • Measure results and document how to operate or pause the workflow.

Who this is for

Business owners, operations teams and professionals working with enquiries, reporting, follow-ups or repetitive administration.

Before you begin

Basic computer and spreadsheet skills. Bring a sample process; coding experience is optional.

THE COURSE OUTLINE

A clear path, module by module.

Each module connects a concept to a practical task. Open a module to see its topics and exercise.

01Find the right process
  • List repeated tasks and identify the person responsible.
  • Measure the current effort, errors and hand-offs.
  • Choose a small first workflow with a clear success measure.

What you will understand

Define a process by its starting event and completed outcome. An enquiry process starts when a request arrives and ends when the learner receives a reviewed answer or an escalation. Writing down the boundary prevents a small classroom prototype from quietly expanding into payment, booking or other consequential operations. Count effort at each step, including checking and rework. Observe several examples before assuming all enquiries take the same time. A baseline should name its sample size and measurement period. Classroom estimates help prioritise a prototype but do not establish a real business efficiency claim. Compare frequency, effort, input consistency and consequence of errors. Begin with a bounded process whose inputs can be standardised and whose output can be reviewed. A complex process with many exceptions may benefit first from a clearer checklist rather than from an automated integration.

PUT IT INTO PRACTICE

Write a one-page automation opportunity brief.

02Map the workflow
  • Define the trigger, inputs and expected output.
  • Draw decision points, exceptions and human approvals.
  • Set boundaries for what the automation may change or send.

What you will understand

A trigger announces that work may begin. A state records where the record is in the process. Use states such as new, needs clarification, ready for review and approved. Explicit states help a person distinguish a draft that exists from a reply that has actually been reviewed. A decision rule connects a condition to a next step. Missing course information sends an enquiry to clarification, while a recognised course can proceed to drafting. Rules should include the case where a condition fails or the tool is unavailable. Draw those branches before implementing the happy path. Name who may change each state and what evidence approval requires. A generated draft does not grant permission to send it. The reviewer checks the source facts and the recipient, then explicitly records the decision. A workflow diagram should show this review as a real step rather than as a small footnote.

PUT IT INTO PRACTICE

Map an enquiry from arrival to a reviewed response.

OPTIONAL AI PRACTICE

Try this brief

Map this fictional enquiry process into trigger, input, decision, output and exception. Flag missing information rather than assuming an approval.

Check the result

Compare the map with the process notes and keep all proposed workflow actions under human review.

03Prepare the data
  • Create consistent fields and a single source of truth.
  • Check duplicates, missing values and access permissions.
  • Use sample or anonymised data during development.

What you will understand

Give each enquiry a stable identifier that represents one business event. Two identical event deliveries should refer to the same record. A row number is often unstable when a spreadsheet is sorted. Document the identifier and the fields that may change so repeated processing can recognise an existing enquiry. A contract defines required fields, allowed values and formats. A course field might accept known course slugs plus unknown. Do not guess a missing email or phone. Mark the row for clarification and preserve the original value. Agree on whitespace and case normalisation before comparing records. Check both the data and the people allowed to use it. Classroom data should be fictional. Keep the input copy read-only during development and record rejected rows separately. A validation report should explain what failed and why so the learner can fix the process without silently deleting inconvenient records.

PUT IT INTO PRACTICE

Design a clean enquiry tracker and validation checklist.

04Build a small prototype
  • Connect a sample input to a tracker or draft output.
  • Use filters and branching rules for different cases.
  • Add error notifications and an approval checkpoint.

What you will understand

A prototype tests the proposed process with a small set of sample inputs. It does not need every production integration. A spreadsheet can model triggers, branches and reviewer queues before a connector is selected. Make the state transitions visible so peers can inspect the behaviour without trusting hidden automation steps. Use approved course facts to prepare an answer template. Separate the recipient fields from the message content and keep uncertain information explicit. A draft can include an enquiry next step while leaving unconfirmed dates or fees unanswered. The reviewer must see the source facts beside the draft. A failed step should leave a record that a person can recover. Record the enquiry ID, failed stage, reason and next action. A silent retry may create duplicates, while a silent failure may lose work. Use a manual exception queue as the first fallback and test that it can be operated.

PUT IT INTO PRACTICE

Prototype a workflow that prepares a follow-up for review.

05Add AI with a purpose
  • Use AI for classification, summaries or response drafts.
  • Specify the expected output and compare it with examples.
  • Review uncertain results and protect confidential information.

What you will understand

Give the assistant a finite list of categories and permit an unknown result. Category definitions should use the actual enquiry meaning. Without an unknown route, an ambiguous request may be forced into a misleading category. Keep the input and predicted category beside the human-reviewed reference label. Compare predicted labels with reference labels on a labelled sample. Report accuracy and inspect the mistakes. A small sample may not represent real enquiries, and a high average can hide a consequential confusion. Use an explicit threshold for review and avoid presenting a model confidence score as a calibrated probability without evidence. AI is useful where varied wording makes deterministic matching brittle. It still needs source-backed definitions, an exception route and a reviewer. Keep recommendations separate from business actions. An unclear enquiry should generate a clarification request rather than a guessed course or an automatic booking.

PUT IT INTO PRACTICE

Compare AI classifications against a manually checked sample.

06Operate and improve
  • Test missing data, duplicates and failed integrations.
  • Track time saved, accuracy and exceptions.
  • Document ownership, rollback and a manual fallback.

What you will understand

A run log records when processing occurred, which inputs it used and what happened. A useful log names completed records, exceptions and reviewer actions. Avoid logging unnecessary personal data. If processing occurs twice, the operator should be able to tell whether the second run repeated work or produced a legitimate revision. Measure both effort and output quality. Report draft time, review time, exception count and checked claim accuracy. Compare the same task boundary with the original baseline. A pilot with fictional inputs teaches measurement, while a business benefit claim needs representative observations from the actual process. Assign an operator, a reviewer and a person responsible for integration maintenance. Document how to pause processing, restore the previous working state and continue manually. Test that fallback instead of assuming it exists. A workflow is usable when another trained person can operate it and recover from a common failure.

PUT IT INTO PRACTICE

Demonstrate the complete workflow with a handover guide.

OPTIONAL AI PRACTICE

Try this brief

Draft an operating checklist for this sample workflow using the agreed steps and failure cases.

Check the result

Check each instruction against the prototype and test a failure before accepting the handover.
